Team workspaces where everyone gets the right access

In Brainitive, a workspace holds your team and its projects, and roles decide who can read, edit or manage each one. Sign in the way your team prefers, follow the work that matters to you, and keep going when the connection drops. Brainitive installs as an app on desktop and phone, straight from the browser.

Workspaces

A workspace is the home of your team or company in Brainitive: it has its own members and settings and holds the projects, with one project per product, client or initiative.

  • Create as many workspaces as you need and switch between them from the top of the sidebar or with ⌘K.
  • Workspace admins invite people by email. Existing users are added right away, and new people get an invitation link that is valid for 30 days.
  • Workspace settings cover name, branding and logo, time zone, language and currency, members, your own AI provider, legal links and webhooks.
  • Projects are private by default. Apart from workspace admins, people only see a project once they're added to it.
  • Move a project to another workspace with all its boards, docs, whiteboards, plans, task lists and helpdesks, if you're an admin of both.

Roles & permissions

Brainitive has roles on two levels: the workspace role decides who manages the team, and the project role (viewer, editor or admin) decides what someone can do inside each project.

  • Workspace roles are owner, admin, editor, member and viewer. Admins change settings, manage members and open every project. Editors can create projects.
  • Project viewers read everything and can comment. Editors create and edit issues, boards, docs, whiteboards, lists and plans.
  • Project admins can delete any issue, board, list or plan and manage project settings, members and automations.
  • Unpublished draft docs are visible only to their author and admins, whatever the role.
  • Removing someone from a workspace removes their access to all of its projects and boards.

Watchers

Watching an issue, doc, task list or helpdesk ticket keeps you notified about its changes, so you can follow work you don't own.

  • You automatically watch issues you created or are assigned to.
  • Use the watch option on an issue, page, task list or ticket to follow it or stop following it.
  • Watchers get notified about new comments and status changes on issues they watch.
  • On docs, watchers are notified when the author publishes changes with Notify watchers ticked.
  • Choose per category whether notifications arrive in the app, by push or by email.

Profiles & avatars

Your profile sets the name and photo your teammates see on cards, comments, assignments and mentions, so everyone knows who is working on what.

  • Upload a profile picture as JPEG or PNG up to 2 MB, and set your name, email, optional phone and bio.
  • Changing your email address is confirmed with a link sent to the new address.
  • Member avatars appear on the project page, on cards and comments, and live next to the people who are in the same issue or doc.
  • Your time zone comes from your browser, so due times and reminders follow your local time.
  • Download all your data as a ZIP, or delete your account. Work you created in shared workspaces stays with the team.

Social login

Sign in to Brainitive with email and password, or with Google, GitHub or Microsoft, including Outlook.com and Microsoft 365 accounts.

  • Signing in with Google, GitHub or Microsoft using the same verified email address opens the same account.
  • Email login offers Remember me and Forgot your password.
  • After several failed login attempts in a row, the account is locked for a while to protect it from password guessing.
  • Connected apps, such as AI connectors, the browser extension and the CLI, are listed in your profile and can be disconnected at any time.
  • On a self-hosted server, the administrator decides which sign-in providers are offered.

Your sidebar, your way

You decide what your sidebar shows: hide the entries you don't use, choose which groups each project lists, and pin the boards, lists and docs you open every day.

  • Open Customize sidebar from your avatar menu to hide top-level entries.
  • Choose per project which groups appear: boards, lists, plans, helpdesks, lead forms, pages, whiteboards and folders.
  • Pinned items show first in each project, and you can show only pinned items.
  • Hidden entries stay reachable with ⌘K, and your choices are personal.

Offline mode

Offline mode lets you keep working with My Day, task lists, issues and quick capture without internet. Changes are saved on the device and synced when you're back, and conflicts are shown instead of overwritten.

  • Turn it on per device under Profile settings, then Offline.
  • Offline you can use today's My Day, your last 20 task lists and your last 50 issues, including status, priority, assignee, due date and comments, plus quick capture.
  • Brainitive syncs when the connection returns, when you come back to the tab and every 30 seconds.
  • If someone changed the same field, you choose Keep mine, Keep theirs or Keep both, and nothing is overwritten silently.
  • Offline data is deleted when you sign out or turn offline mode off. Docs are not available offline, but edits made while the connection drops are kept and merged.

Install as an app

Brainitive installs as an app on phones, tablets and computers straight from the browser, with its own window, its own icon and push notifications.

  • On iPhone and iPad, open Brainitive in Safari and choose Share, then Add to Home Screen. Push notifications on iOS work in this Home Screen app.
  • On Android, use Install app or Add to Home screen in Chrome.
  • On desktop, install it from the address bar or the menu in Chrome or Edge.
  • On phones, a round button lets you capture an idea from anywhere.
  • A browser extension for Chrome, Edge and Firefox saves pages, issues, tasks and snippets from any website.

Frequently asked questions

What is the difference between a workspace and a project in Brainitive?

A workspace is your team or company, with its own members and settings. Projects live inside a workspace, one per product, client or initiative, and hold the boards, lists, plans, docs, whiteboards and helpdesks. Bookmarks and snippets belong to the workspace.

Which roles and permissions does Brainitive have?

Workspaces have owner, admin, editor, member and viewer roles. Each project then has its own viewer, editor and admin roles. Viewers read and comment, editors create and edit content, and project admins delete content and manage settings, members and automations.

Can I sign in with Google, GitHub or Microsoft?

Yes. The login page can offer email and password, Google, GitHub and Microsoft, including Outlook.com and Microsoft 365. Using the same verified email address with several providers opens the same account.

Does Brainitive work offline?

Yes. Turn on offline mode for a device and you can keep using My Day, your last 20 task lists, your last 50 issues and quick capture without internet. Changes sync when you're back, and if someone else changed the same thing, you decide which version to keep.

Is there a desktop or mobile app?

Brainitive installs as an app from the browser on iPhone, iPad, Android and desktop Chrome or Edge. It then opens in its own window with its own icon and can send push notifications. There is also a browser extension for Chrome, Edge and Firefox.

How many members can I invite for free?

The Free plan allows up to 3 members and 5 projects per workspace, and every feature is in every plan. Brainitive is open source, and self-hosted installs have no plan limits.
