A client portal for approvals, plus feedback, lead forms and share links

Share your work with people outside your team without giving them access to your workspace. Clients approve docs and plans in a client portal, customers vote on ideas in a feedback portal, and lead forms turn every submission into a card. Read-only links cover the rest.

Client portal

The client portal is a private page per project where invited clients review the docs and plans you publish for them. Clients approve or request changes on the exact version you shared, and comment, without ever joining your workspace.

  • Invite clients by email, optionally with an Access until date. They sign in with an emailed link, with no password.
  • Publish a doc in its latest published version, or a snapshot of a Gantt plan, with an optional note to the client.
  • Clients approve, request changes with a note, comment, download the version and see all earlier versions and decisions.
  • A newer version replaces the previous one for the client and needs a fresh approval; the earlier decision stays in the history.
  • Reply to the client by email from the deliverable, or add an internal note only your team sees. Clients never see your boards, other docs or comments.

Feedback portal

The feedback portal is a public page where customers share product ideas, vote for the ones they want and follow what happens to them. You moderate every idea, set a public status and turn good ideas into cards on your board.

  • Customers sign in with just their email to post, vote and follow; there is no password and no Brainitive account.
  • While typing, people see similar ideas and can vote for one instead, which keeps duplicates down.
  • Approve or reject new ideas, merge duplicates (votes and followers move along) and set a status: Open, Planned, Building, Released or Declined.
  • A Roadmap view shows what is Planned, Building and Released. Followers get an email when the status changes.
  • Create a card from an idea or link an existing issue by its key. Card details, comments and assignees never appear on the portal.

Lead forms

Lead forms are branded, multi-step forms for demo requests, quotes and sign-ups, and every submission lands as a card on the form's own leads board. You build them in the browser, publish them at their own address or embed them on your website.

  • Start from a template, such as demo request, quote request, free trial or webinar, or from a blank form.
  • Add steps and questions, and show a question or a whole step only for certain answers.
  • Publish at /f/your-name or embed the form on WordPress, Webflow, Wix or plain HTML. UTM tags and hidden fields from the link are saved with each lead.
  • Record consent with the time and the exact text the visitor agreed to, and send a confirmation email to the lead.
  • Send every new lead as JSON to Zapier, Make, n8n or your CRM, and see views, starts, submissions and conversion without cookies.

Publish & share

Everything in Brainitive stays inside your workspace until you decide to make it public. When you do, you get a public page or link for release notes, bookmark collections and code snippets.

  • Publish the release notes of a release to their own public page, and give the project a public changelog.
  • Later edits to release notes stay private until you click Publish update; Unpublish takes the page down.
  • Share a bookmark collection read-only with anyone who has the link.
  • Make a snippet collection or a single snippet public and copy its share link.
  • Workspace admins can add your legal entity, privacy policy and imprint, which are shown on support pages, forms and portals.

Frequently asked questions

How do clients sign in to the Brainitive client portal?

You invite clients by email from the project's client portal page. They sign in with a link Brainitive emails them, with no password, and they never join your workspace. You can set an end date for their access, re-invite them or revoke access at any time.

What can clients see in the client portal?

Clients only see the deliverables you publish there: chosen docs in their published version and snapshots of plans. They never see your boards, other docs or internal comments. Internal notes on a deliverable stay with your team.

Do invited clients count as paid members?

No. Clients you invite to a client portal never join your workspace, so they are not paid members. Brainitive Cloud plans only count the members of your workspace — someone becomes a paid member only when you add them to the workspace itself. The same goes for people who post in your feedback portal or open a share link.

Can customers vote on feature requests?

Yes. The feedback portal lets customers post ideas, vote and follow them after signing in with just their email. You approve ideas before they appear, merge duplicates and set a public status. A Roadmap view shows what is planned, being built and released.

Can I send leads from Brainitive forms to my CRM?

Yes. Each lead form can send every new lead as JSON to a URL you choose, for example Zapier, Make, n8n or your CRM. Other tools can also push leads onto the form's leads board with a token. Every lead also stays as a card on the leads board in Brainitive.

Can I self-host the client portal and forms?

Yes. Brainitive is open source and can be self-hosted, and the client portal, feedback portal and lead forms are part of the same app. Self-hosted installs have no plans and no limits.
